Core · Modules · Intelligence

The same core, applied where records drive decisions.

Choose a workflow. The underlying discipline stays the same: read the record, cite the source, require approval.

Module 01

Core

One governed collection across handwriting, scans, radio, TV and today’s files.

  • →  Old files and today’s files on the same Core
  • →  Search mixed English and French
  • →  Page- and timestamp-level evidence

Sample question

“What did we last say on this file, and what is still pending before the meeting?”

See it on your records
Record answer
|

Last written position is in the outgoing note of 14 March, points 2 and 4.

Two items remain open: a draft reply assigned last Friday and still unsent; an addendum to the 2024 agreement that was never signed. No later instruction is on file.

Proposed

A person still decides.

Module 02

Correspondence

Every incoming and outgoing letter numbered, assigned and traced.

  • →  Registered the day it arrives
  • →  An owner on every letter
  • →  Delays visible before they become problems

Sample question

“Who owns the incoming letter of 12 March, and is the delay past due?”

Module 03

Agreements

Dates, owners and signatures across the agreement register.

  • →  A named owner for every agreement
  • →  Unsigned addenda flagged

Sample question

“Which agreements lapse in the next six months, and who owns them?”

Record answer

  • —Framework agreement · renewal opens May · owner on register
  • —Service contract · expires August · owner on register
  • —Addendum 2024 · unsigned · no owner

Two agreements on file lapse within six months: the framework agreement, whose renewal window opens in May, and the service contract, which expires in August.

Each has a named owner on the register. The 2024 addendum remains unsigned and has no owner.

Module 04

In development

Compliance & regulation

The rules around a file, for both sides of the counter.

Applicant

What is required, how many bodies are involved, which approvals are needed, and what to fix before submitting. Guidance also works when the counter is closed.

Officer

Pre-analyse the submitted file: flag missing items with the cited article, summarise, propose the next step. The officer reviews and decides.

  • ✓Registration steps confirmed · art. x
  • —Proof of premises
  • —Sector form
  • —Fee receipt

Checklist from the published rules.

Four steps. Three bodies to notify or apply to. Two approvals. Three items usually missing if you file today: proof of premises, sector form, fee receipt. Each line cites the article. Confirm with the competent authority. Not a permit.

Proposed

A person still decides.

Proposed for an officer. Sources attached. Not a permit.

Module 05

Institution-controlled bilingual terms. No outside vocabularies imported.

  • →  English and French term pairs defined by the institution

  • →  Answer with cited evidence
  • →  Synthesize across past and present
  • →  Prepare submissions with approval trails
  • →  Brief decision-makers with sources attached
  • →  Called through an API so existing systems do not have to be replaced

Sample question

“Prepare a brief with sources for this file.”

Module 08

Dashboard

See a collection as the institution measures it.

  • →  Metrics you define (active, expiring, expired, by sector, by counterpart, by owner)
  • →  Chart library and a visual builder for the department
  • →  Works on agreements and on any other collection
  • →  Present mode for a meeting

Sample question

“Which agreements expire in the next six months, by sector, and who owns them?”

See it on your records
Record answer
|

The collection is counted as the institution defines it: active, expiring, expired.

Within six months, the expiring set groups into three sectors, each line carrying its recorded owner. The same view can be saved for a department and presented in a meeting without exporting the file.

Module 09

Reports

One file for the head, built from many desks.

  • →  Repository of submitted sections
  • →  Converge and merge from field teams
  • →  One narrative, sources still visible
  • →  Officer or cabinet approves before it leaves

Sample question

“Compile the field notes on this matter into one report for the head, and list what is still missing.”

See it on your records
Record answer
|

Submitted sections from three desks converge into one narrative, each paragraph still attached to the note it came from.

Two sections are missing: one desk has not filed, and one submission has no dated figure. The compiled report stays proposed until a person approves it.
